The Outpatient Nursing Clinic Scheduler Secretary Tech is an essential part of a patient-focused team who use their knowledge, skills, and energy to carry out the sacred task of helping others. They are entrusted to provide excellent service, set a positive tone for every patient coming to the clinic, and serve as a liaison between patients and staff. They serve as a secretary, scheduler, and Tech for the clinic. They provide overall daily operational organization and coordination of the department’s patient flow and the patient medical record. They are responsible for complex scheduling appointments that involve close communication with clinics, for continuity of care. They are the communication hub of the department and the operational interface with the public, customers, providers, and staff. They are responsible for creating a positive first and last impression and facilitating the patient experience.

Required Qualifications:

  • High school diploma or GED
  • Six (6) months of nursing assistant experience or certification
  • Basic Life Support (BLS) Certification within two (2) weeks of hire
  • Legible printing
  • Clear speaking voice
  • Fluent in English
  • Typing/computer skills
  • Knowledge of Windows-based software with emphasis on Word, Excel, and Outlook
  • Mature, courteous demeanor
  • Ability to handle stressful situations and work well with others in a team
  • Public relations skills
  • Maintain a professional appearance
  • Highly motivated
  • Medical terminology required prior to unit orientation or documentation of formal class within one (1) year (or has 6
    months of prior PCT experience)

Preferred Qualifications:

  • Previous receptionist, clerical and/or secretarial experience
  • Prior Cerner experience
  • Multi-language ability

Duties and Responsibilities:

General:

Secretarial / Front Desk Reception:

  • Clerical duties
  • Greet and check-in patients; communicate arrival to clinical staff
  • Answer phones, take messages, file and distribute reports
  • Collaborates with appropriate departments, as well as physicians’ offices, to get documentation or information to facilitate diagnostic and procedural coding
  • Manages the patient’s medical records by scanning documents for the day, into the appropriate sections in patient’s chart
  • Assists the supervisors and manager with department organization
  • Communicate new orders or procedures
  • Prepare daily patient charts

Scheduling:

  • Receives information via fax, electronic file or phone and inputs into computer so all critical information is transmitted and communicated correctly, helping to ensure the best possible patient outcome.
  • Work with nursing staff and management, to ensure accurate information is provided in the most effective manner when scheduling patients
  • Ensures orders have the required components including prior authorizations, specialty pharmacy information, and diagnosis statements/codes to ensure timely scheduling. Communicate immediately with clinics if this is not complete.
  • Communicate with registration, regarding appropriate encounter types.
  • Communicate appointment schedules to both staff and patients.
  • Arrange transportation as required.
  • Provide procedure time information to the clinic staff, supervisors, and others requiring scheduling information
  • Work with Interventional Radiology to schedule appointments in OPNC for pre and post procedures and ensures appropriate time needed, to ensure safe patient care.
  • Understands system and resource capacity and communicate any scheduling issues to the appropriate people; is responsible for capturing all the required elements pertinent to all appointments

Billing/Medical Records:

  • Works closely with registration, to create accurate encounter types for the patient.
  • Scanning into EHR: all prescriptions, admission face sheet, consents
  • Maintains knowledge of current medical record requirements for dept. and applies knowledge of policies and procedures related to medical record information, confidentiality, release of information and historical data
  • Each caregiver is responsible for implementing SJRMC’s Service Standards into their daily work
